**Introduction**Mileafy LLC (“we,” “us,” or “our”) respects your privacy and is committed to protecting your personal information. This Privacy Policy explains how we collect, use, disclose, and safeguard your information when you visit our website ([https://mileafy.com](https://mileafy.com/)) (the “Website”) and use the Mileafy: Mileage Tracker mobile application for iOS and Android (the “App”). **1\. Information We Collect**

**a. Location Data**

Mileafy is an automatic mileage tracker, so location is the core of the App.

- **Precise location:** With your permission, the App collects your device’s precise (GPS) location, including latitude, longitude, speed, heading, altitude, accuracy, and timestamp.
- **Background location:** If you allow location access “Always” (iOS) or “Allow all the time” (Android), the App collects location **in the background, even when the App is closed or not in use**, to detect when a drive starts and ends and to record the route without you opening the App. On Android, a persistent notification is shown while a drive is being recorded.
- **What we store from location:** For each drive we store the start and end coordinates and addresses, the route (a series of GPS points), distance, duration, and start and end times. We also store places you save, such as frequent locations.
- **Manually entered locations:** When you add a drive yourself, we collect the addresses you enter or pick on the map.

You can turn off automatic tracking in the App or revoke location permission in your device settings at any time. Without location permission, automatic drive tracking does not work, but you can still add drives manually.

**b. Motion and Activity Data**

- **Motion & Fitness (iOS) / Physical activity (Android):** With your permission, the App reads your device’s activity type (for example, driving, walking, or stationary) to tell drives apart from walking or running and to pinpoint where a drive started and ended. Activity data is processed on your device and is not stored as a history on our servers.

**c. Bluetooth (Android)**

- **Car Bluetooth devices:** If you choose to link your car’s Bluetooth, the App reads the names of your paired Bluetooth devices so you can pick your car, and uses its connection to help detect drives. The selected device name is stored only on your device.

**d. Account and Personal Information**

- **Account details:** Email address, name (if provided), and sign-in provider when you sign up with email, Apple, or Google.
- **Vehicles and mileage rates:** Vehicle information and custom mileage rates you enter.
- **Drive details:** Drive purpose (business, personal, etc.), notes, and other details you add.
- **Device and notification tokens:** Firebase Cloud Messaging push tokens and, on iOS, Live Activity tokens, used to send notifications.
- **Purchases:** Subscription status and transaction identifiers from Apple App Store or Google Play, processed through RevenueCat. We do not receive your payment card details.

**e. Automatically Collected Information**

- **Analytics and crash reports:** We use Firebase Analytics and Crashlytics to collect usage data (such as screens viewed, features used, app version, device model, and OS version) and error reports.
- **Advertising identifier:** The App may collect your device’s advertising identifier (on iOS, only if you allow tracking) to measure which ad campaigns brought users to the App. You can reset or limit this identifier in your device settings.
- **Diagnostic tracking logs:** To fix tracking issues, the App may upload technical logs of the drive-detection process, which can include location points and timestamps.

We do not knowingly collect personal information from children, as the App is not intended for use by individuals under the age of 13.

**2\. How We Use Your Information**We use the information we collect for the following purposes:

- **To Provide Mileage Tracking:** We use location, motion, and Bluetooth data to automatically detect drives, record routes and distance, show drives on a map, look up addresses, and calculate mileage and deduction or reimbursement amounts.
- **To Provide and Maintain Our Services:** We use your account data, drive history, vehicles, and rates to operate the App, sync your data across devices, generate reports and exports, and apply your plan’s limits.
- **To Communicate with You:** We send notifications about recorded drives, tracking problems (for example, when location permission is turned off), summaries, and updates to our services.
- **To Analyze and Improve the App and Website:** We use analytics, crash reports, and diagnostic logs to fix bugs and improve tracking accuracy.
- **To Ensure Security and Prevent Fraud:** We use security measures, including authentication and Firestore security rules, to protect against unauthorized access or misuse of data.

We do **not** use your location data for advertising, and we do not sell it.

**3\. Disclosure of Your Information**We do not sell your personal information. We share information only in the following circumstances:

- **Service Providers:** We share information with trusted providers that perform services on our behalf and only to the extent necessary:
    - **Google Firebase / Google Cloud** (Authentication, Firestore, Cloud Functions, Cloud Storage, Cloud Messaging, Analytics, Crashlytics) — stores and processes your account, drive, and location data.
    - **Apple Maps and Google Maps Platform** — drive coordinates and addresses are sent to these services to show maps, look up addresses, and calculate driving routes.
    - **RevenueCat, Apple App Store, and Google Play** — process subscriptions and purchases.
    - **Apple and Google sign-in** — authenticate you if you choose these sign-in methods.
- **Companies You Drive For (Mileafy for Business):** If you join a company on Mileafy for Business, drives you submit to that company — including dates, distance, start and end addresses, route, purpose, and your name — are shared with that company’s administrators for review and reimbursement. Drives you do not submit are not shared.
- **Legal Requirements:** We may disclose information if required by law, court order, or governmental regulation, or if such disclosure is necessary to protect our rights or the rights of others.
- **Business Transfers:** If we undergo a merger, acquisition, restructuring, or asset sale, your information may be transferred as part of that transaction.

**4\. Data Retention**We keep your account and drive data, including location data, for as long as your account is active, so you can keep your mileage records for tax and reimbursement purposes. When you delete your account, your data is permanently deleted 30 days later, except drives you submitted to a company, which stay in that company’s records. Diagnostic tracking logs are kept only as long as needed to fix tracking issues. Analytics and crash data expire on the providers’ standard schedules. See [Delete Your Account](https://mileafy.com/delete-account) for details.

**5\. Your Rights and Choices**

- **Location and Permissions:** You can turn off automatic tracking in the App, or change or revoke location, motion/activity, Bluetooth, and notification permissions in your device settings at any time.
- **Access and Correction:** You can view, edit, and delete individual drives, vehicles, and rates in the App, and export your drives.
- **Account Deletion:** You can delete your account and associated data at any time in the App under **Settings › Personal information › Delete account**, or by emailing care@mileafy.com. See [Delete Your Account](https://mileafy.com/delete-account).
- **Notifications:** You can opt out of non-essential notifications in the App or in your device settings.

**6\. Security Measures**We use industry-standard security measures to protect your data, including encryption in transit, Firebase’s security protocols, and Firestore security rules to control database access. While we strive to protect your data, no security measure can guarantee absolute security.
